Privacy Policy
Effective date: 23 October 2026
This Privacy Policy describes how James McDonnell (“we,” “us,” or “our”) collects, uses, stores, and discloses information when you use the Insurance Tracker service (the “Service”), an administrative insurance tracking and information tool. This policy applies to personal information of California residents and other users.

1. Information We Collect
We collect these categories of information:
- Account information: your name, email address, company name, and the password you set. If you sign in with Google, Google tells us your name and email address.
- Insurance tracking information you or your authorized users enter or upload: policy details, expiration dates, certificates, documents, photos, notes, tasks, and related data.
- Information about other people entered by authorized users, such as subcontractors and insurance agents (see below).
- Renewal quote requests you choose to send: revenue, payroll, number of employees, claims history, changes to your business, and whether you consent to your loss runs being requested.
- Your quote and offer preference: your answer to the optional box about receiving insurance quotes, renewal options and offers from Knight Insurance Services, the version of the wording you were shown, and the time you answered.
- Two-step sign-in settings: if you turn on two-step sign-in, we keep the settings needed to check your codes.
- Records of your acceptance of our Terms of Service: the version you accepted, the time, and your browser or device type.
- Technical and usage information collected automatically when you use the Service, such as IP address, browser type, device information, and logs, including a log of changes and emails sent from your workspace.
- Communications you send to us, including feedback. When you use Send feedback, we receive your note, the screenshot if you add one (with anything you drew on it), the page you were on, your company, your email address and your browser type. We store it in the Service, email a copy (with the screenshot) to our team, and copy the note to our internal feedback tracker.
Photo location data
Photos taken on a phone can carry the place they were taken (GPS or EXIF data). We remove that location data from JPEG, PNG and WebP files when they are uploaded. HEIC files are kept exactly as uploaded, so they may still contain location data.
Service providers
We use the following providers to operate the Service. Each processes personal information only on our instructions and under contractual restrictions:
- Supabase: hosts the database, sign-in, and uploaded files.
- Cloudflare: hosts the website and runs the scheduler that sends reminders.
- Resend: delivers the reminder and notification emails you configure, including the recipient’s email address and the policy or certificate details contained in the message.
- Google: only if you choose to sign in with Google, to confirm who you are.
Backups are not running at the moment. If and when backups run, GitHub will run the backup jobs (which read the full database and every uploaded file in order to encrypt them) and Cloudflare R2 will store the encrypted copies. We will update this list, and Section 7, before that starts, and whenever we add or replace a provider.
Information about other people
Authorized users enter information about third parties, for example a subcontractor’s contact name, email address and telephone number, and the name, email address and telephone number of that subcontractor’s insurance agent. We hold this information on behalf of the company whose account it was entered into. That company decides what to enter and is responsible for having a proper basis to provide it to us. The same applies to photos that show people.
If you believe information about you is held in the Service and you are not a user, contact us at james@ccrehomes.com. We will pass your request to the company concerned and assist them in responding.
2. How We Use Information
We use information to:
- Provide, operate, maintain, and improve the Service.
- Authenticate users and manage accounts.
- Send courtesy reminders and notifications you configure.
- Pass your details to Knight Insurance Services when you ask us to (see Section 3).
- Communicate with you about the Service.
- Comply with legal obligations and protect our rights.
- For other purposes with your consent or as permitted by law.
We do not sell personal information, and we do not share it for cross-context behavioral advertising. If that ever changes, we will update this policy first and provide any notices and opt-out choices the California Consumer Privacy Act (CCPA), as amended by the CPRA, requires.
3. Sharing of Information
Our access. We can access information in the Service where necessary to operate it, provide support, investigate problems, and meet legal obligations. The portal operator, James McDonnell, can view any company’s records to run and support the service. We limit access to what the task requires.
Your company’s insurance agency. An insurance agency linked to a company can view that company’s records and work on its renewal quotes. Unless the company admin sets “Your broker can” to View only, the agency’s agents can also edit the company’s records. Company admins can change this setting at any time.
Knight Insurance Services. Knight Insurance Services, a licensed insurance agency, receives your contact details only if you tick the optional box to receive insurance quotes, renewal options and offers from them, so that they can send you those. They also receive any renewal quote request you choose to send (revenue, payroll, number of employees, claims history, changes to your business, and your loss-run consent). You can change your answer at any time in My settings, or use the unsubscribe link in any offer email (no sign-in needed; honored within 10 business days, in practice right away).
Apart from that, we may disclose information:
- To the service providers listed in Section 1, which process data solely to help us operate the Service, under contractual restrictions.
- If required by law, legal process, or to protect rights, safety, or property.
- In connection with a business transfer (such as a merger or acquisition).
- With your direction or consent.
4. Reviewing, Changing and Deleting Your Information
My settings. Open the account menu at the bottom of the sidebar and choose My settings. There you can change your quote and offer preference, turn two-step sign-in on or off, or delete your account. Company admins can view, correct and remove company records. For anything else, email james@ccrehomes.com or write to 4281 Palm Drive, La Cañada Flintridge, CA 91011.
Deleting your account. Choose My settings, then Delete my account. You are signed out at once and cannot sign in again. Within 30 days we permanently delete your login and personal information: your place on your companies’ team lists, saved views, reminder settings, your quote and offer preference, and the feedback you sent through the app, with its screenshots. We also delete by hand the copies of your feedback outside the Service: the note in our internal feedback tracker and the feedback emails sent to our team. Business records that belong to your company (policies, certificates, subcontractors and their certificates, documents, renewal tasks and quote requests) stay with the company for its other members; where one names you, your name is replaced with "Deleted user", and items assigned to you become unassigned. The activity log keeps that a change was made without your login. Your acceptance of the Terms of Service is kept, without your name or email, as the record of the agreement. Offer emails and reminder emails stop at once. If you are the last admin of a company that has other members, make someone else an admin first. If you are the only member of a company, the company and its records are deleted with your account after you confirm. If you cannot sign in, see How to delete your account.
Stopping offer emails. Use the unsubscribe link in any offer email. It works without signing in, and we honor it within 10 business days (in practice, right away). Reminders and certificates you or your company set up are not offers and keep arriving.
5. California Privacy Rights
If you are a California resident, you may have rights under the CCPA/CPRA, subject to certain exceptions (including for some insurance-related information), to:
- Know the categories and specific pieces of personal information we have collected about you.
- Request deletion of personal information (subject to exceptions). See Section 7 for how long it takes.
- Correct inaccurate personal information.
- Opt out of the sale or sharing of personal information (if we engage in such activity).
- Not be discriminated against for exercising these rights.
To submit a request, contact us at james@ccrehomes.com or write to 4281 Palm Drive, La Cañada Flintridge, CA 91011. We will verify your identity as required by law. You may also designate an authorized agent. We do not sell or share personal information.
6. Do Not Track and Tracking Across Sites
We do not track you across other websites, and we do not let third parties track you across sites through Insurance Tracker. Because of that, we treat every visitor the same way whether or not their browser sends a Do Not Track signal or a Global Privacy Control signal.
7. Data Retention and Security
We keep your information while your account is active, and as long as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements.
When you delete your account, we delete your login and personal information within 30 days, except business records that belong to your company and stay with it for its other members (with your name replaced by "Deleted user"), your Terms of Service acceptance (kept without your name or email), and records the law requires us to keep (for example, because of a legal hold).
Backups are not running at the moment, so there are no backup copies to wait for. When backups run, we will state here how long backup copies are kept before they are deleted.
We use reasonable administrative, technical, and physical safeguards, including private file storage shared only through short-lived links and optional two-step sign-in, but no system is completely secure.
8. Children’s Privacy
The Service is not directed to children under 16, and we do not knowingly collect personal information from children.
9. Changes to This Policy
We may update this Privacy Policy. When we do, we post the revised version on this page with a new effective date. If a change is material, we will also tell you by email or with a notice in the Service before it takes effect. Continued use after changes constitutes acceptance of the revised policy where permitted by law.
